Airbnb extra guests can mean a straightforward booking correction, a friend visiting for dinner or a request that the flat cannot accommodate. Before agreeing, establish who will stay overnight, check the home's actual capacity and make sure the reservation reflects the approved group.
For London hosts, the practical work continues after the message: someone may need to prepare a sofa bed, deliver linen or update the arrival handover. This guide covers that booking-change process. Use our separate house-rules template for your standing occupancy and visitor policy.
Can Airbnb guests bring extra people?
Airbnb's guest-limit guidance tells guests to agree additional people with the host before inviting them. It also requires guests to respect the maximum overnight occupancy. An enquiry about another person is therefore a request to assess, rather than permission to arrive with a larger group.
Ask whether the person will sleep at the property or visit temporarily. Then check the relevant rule and arrangements. A daytime visitor and an additional overnight guest create different decisions; neither should be left ambiguous in the booking conversation.
Compare three numbers before replying
- The booked group: how many people are currently included in this reservation?
- The requested group: how many would stay if you approved the change?
- The home's maximum: what is the verified limit for this property and the sleeping arrangement you can provide?
Check the listing, the reservation and your property record together. A spare sofa is not automatically an advertised bed. A guest offering to bring a sleeping bag does not establish that the home can accommodate another person. Where the property record is unclear, resolve that uncertainty before agreeing.
For a London flat, also review the building's applicable visitor and access arrangements. Do not assume a concierge will issue another fob or that a shared entrance can support an improvised handover. Keep the decision consistent with the actual property arrangements.
Check readiness as well as capacity
A request within the stated maximum may still need preparation. Confirm which bed will be used, whether its linen is clean and available, and who can prepare it before the additional guest arrives. Check towels, pillows, seating and the equipment needed for the agreed group.
Illustrative example: a flat is listed for up to four people, using a double bed and a sofa bed. Two guests have booked and ask to add a third. The request fits the stated maximum, but the team still needs to check the sofa-bed mechanism, arrange its bedding and explain the layout. If that work cannot be completed in time, do not confirm a ready bed on assumption.
Our bedding and linen guide helps with stock planning. The immediate question is whether the promised setup will be ready for this booking.
Update the Airbnb reservation before treating the change as complete
Once you know the larger group can be accommodated, use the reservation's change process to correct the guest count. Airbnb's guest-count instructions explain that a guest submits a trip change for host approval, with any price difference shown for review. The change is confirmed after acceptance and the reservation details update.
Airbnb also says a guest-count change applies to the whole reservation. If someone plans to join for only part of the stay, check the effect on the booking and price before accepting. Ask Airbnb support for help if the available change process does not represent the arrangement accurately.
Keep one person responsible for checking the final reservation. A message saying that the flat has space, a submitted change request and a confirmed amendment are separate stages. If an amendment remains pending or the tool fails, explain the status clearly and resolve it before promising accommodation for the additional person.
How should an extra guest fee be handled?
Airbnb lets hosts set a threshold above which an extra guest fee applies. Its extra guest fee guidance says a newly added fee applies to future reservations. Changing that setting does not retrospectively rewrite an existing booking's price.
For a confirmed reservation, review the guest-count amendment and its displayed total with the guest. Explain any price change before agreement and check the completed reservation afterwards. Keep the property's capacity decision separate from the price discussion: a payment does not make an unsuitable sleeping arrangement workable.
Airbnb's Resolution Centre guidance directs changes to nights, guest numbers or pet numbers through Change reservation. A standalone payment request is not a substitute for updating the guest count. Do not invent an automatic penalty or assume a disputed amount will be collected.
Pass the confirmed change to the team
Record the approved total, the confirmed amendment and the sleeping arrangement in the operating record. Give housekeeping and whoever handles arrival a clear instruction, with an owner and completion time for any extra work.
- Identify the bed or sofa bed to prepare and its linen size.
- Confirm the required towels and other promised supplies.
- Review access instructions and any agreed key or fob handover.
- Update scheduled messages that still refer to the original group.
- Check that the next person covering guest messages can see the decision.
Confirm readiness rather than merely forwarding the request. If your cleaner discovers a missing sheet or a faulty sofa bed, the person handling the booking needs to know before telling the guest everything is arranged. Our automated messages checklist covers conflicting reminders and team handovers.
Messages for additional guest requests
These are fictional templates to adapt. Replace every bracketed detail, and send final confirmation only after the reservation and preparation checks are complete.
While assessing: Thank you for checking. Please confirm the total number of overnight guests and whether the additional person would stay for the full booking or only certain nights. I will check the sleeping arrangement and preparation, then reply by [time]. We have not approved a change yet.
When an amendment is needed: We can accommodate the proposed total of [number], using [sleeping arrangement], subject to completing the reservation change. Please review the trip change and any price difference before accepting. We will confirm once the reservation shows the agreed group and the setup is ready.
When confirmed: Your reservation now shows [number] guests. We have confirmed [sleeping arrangement] and [any relevant arrival detail]. The agreed booking details are available in your reservation. Please message us before making any further changes to the group.
When unavailable: We cannot accommodate the requested total of [number] at this property. The approved reservation remains for [number]. Please do not make plans for additional people to stay here. Let us know if you need help clarifying the existing arrangements.
What if more people arrive than were booked?
Start by checking the reservation and asking the booking guest what has changed. Establish whether the people are staying overnight or visiting before drawing conclusions. Record the relevant messages, times and confirmed facts.
Airbnb's ground rules for home guests require respect for the approved overnight number and tell guests to ask about additional visitors. Its guidance for suspected breaches starts with communication and documentation, with platform support available for further help.
If a larger group can be accommodated, work through the amendment and preparation checks. If it cannot, explain the limit and contact Airbnb for help with the reservation. Avoid promising a particular cancellation, refund or enforcement outcome. For a wider dispute, see our guest conflict guide.
Make group changes easy to follow
A useful record shows the original group, the requested change, the decision, the final reservation and any preparation completed. Review repeated requests to see whether the listing should explain its sleeping arrangement or visitor policy more clearly.
